Information we collect
When you contact Expert to the Bone or submit a case through the website, information may include:
- veterinary practice name;
- veterinary surgeon name;
- email address and telephone number;
- patient name, species, breed, age and weight;
- travel or import history;
- clinical history and examination findings;
- diagnostic imaging and imaging links;
- current medication and relevant medical conditions;
- other information supplied as part of a case enquiry.
The case submission form is intended primarily for veterinary clinical information. Please avoid including information that directly identifies an animal's owner unless it is necessary for the enquiry.
How we use information
Information submitted to Expert to the Bone may be used to:
- review and discuss veterinary cases;
- assess whether a case may be suitable for on-site surgical support;
- communicate with the veterinary practice or veterinary surgeon;
- plan surgical procedures and associated equipment requirements;
- provide quotations or fee information;
- provide pre-operative and post-operative clinical communication;
- maintain appropriate business and professional records;
- comply with legal, regulatory and professional obligations.
Legal basis for processing
Depending on the circumstances, personal information may be processed because it is necessary to take steps before entering into a contract, to perform a contract, to meet legal or professional obligations, or because Expert to the Bone has a legitimate interest in responding to professional enquiries and providing veterinary surgical services.
The checkbox on the case submission form confirms that the person submitting the form has read this notice. It is not intended to make consent the sole legal basis for processing the information submitted.
Website forms and Formspree
The website case submission form is processed using Formspree, a third-party form processing service.
Information submitted through the form may therefore be processed and stored within Formspree's systems before being delivered to Expert to the Bone.
Where information is processed outside the United Kingdom, appropriate safeguards are used where required by applicable data protection law.
Email correspondence sent to cases@experttothebone.co.uk is handled through Microsoft 365.
Emails may contain case information, attachments and other information relevant to veterinary surgical support.
Expert to the Bone may use WhatsApp for direct professional communication with veterinary surgeons and may operate a WhatsApp discussion group for veterinary surgeons.
If you contact Expert to the Bone through WhatsApp, information associated with your WhatsApp account and any messages or files you choose to send will be processed through WhatsApp. WhatsApp is a third-party service and handles information in accordance with its own privacy policy.
In a WhatsApp group, your profile name and other account information made available through WhatsApp may be visible to other group participants. Depending on WhatsApp functionality and your privacy settings, this may include information associated with your account. Messages and other content posted to the group are visible to the other participants.
Please do not post client-identifying information, patient-identifying information, photographs, radiographs, CT images or other clinical images in the discussion group without the client's explicit consent. Wherever practical, case information should still be anonymised even where consent has been obtained.
Case-specific information that is not appropriate for group discussion should instead be sent directly to Expert to the Bone using the case submission form, email or another agreed method.
WeTransfer and large files
Veterinary practices may choose to use WeTransfer to provide large imaging files or other material that cannot conveniently be attached directly to the website form.
WeTransfer is an independent third-party service. Information uploaded to WeTransfer is handled in accordance with WeTransfer's own privacy terms and policies.
Sharing information
Information is not sold to third parties.
Information may be shared where reasonably necessary with service providers supporting the operation of the business, or where required for legal, regulatory, professional or insurance purposes.
Where a case requires facilities or expertise outside the scope of peripatetic surgical support, this will normally be discussed with the submitting veterinary surgeon before information is shared with another veterinary provider.
How long information is kept
Information is retained only for as long as reasonably necessary for the purpose for which it was collected, including case communication, provision of veterinary services, professional record keeping, accounting, insurance and legal requirements.
Enquiries that do not result in a surgical service may be deleted when they are no longer required.
Security
Reasonable technical and organisational measures are used to protect information against unauthorised access, loss, misuse or disclosure.
No internet-based system can be guaranteed to be completely secure, so veterinary practices should avoid submitting unnecessary personal information.
Your data protection rights
Depending on the circumstances, individuals may have rights including access to their personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing and data portability.

Cookies and similar technologies
Expert to the Bone does not currently intentionally use advertising cookies, behavioural tracking or analytics cookies on this website.
The website, hosting infrastructure or third-party services may use technologies that are strictly necessary for security, transmission of information or provision of a service requested by the user.
If non-essential analytics, advertising or tracking technologies are introduced in the future, an appropriate consent mechanism will be implemented before those technologies are activated.
